01

Introduction

Welcome to Mind-e ("we," "our," or "us"). We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform, website, and services (collectively, the "Services").

By accessing or using our Services, you agree to the terms of this Privacy Policy. If you do not agree with the practices described here, please do not use our Services.

In plain terms

This policy explains what we collect, why, and what happens to it. Using Mind-e means you accept it.

02

Information We Collect

We collect information that you provide directly to us, information we obtain automatically when you use our Services, and information from third-party sources.

Information You Provide

Account information such as your name, email address, and password when you create an account
Billing and payment information when you subscribe to a paid plan
Content you upload to train your AI agents, including documents, PDFs, website URLs, and text
Communications you send to us, such as support requests and feedback
Profile information and preferences you set within your account

Information Collected Automatically

Usage data including pages visited, features used, and actions taken within the platform
Device information such as browser type, operating system, and screen resolution
Log data including IP address, access times, and referring URLs
Analytics data to help us understand how our Services are used and improve them

Information from Third Parties

Authentication data if you sign in using a third-party provider (e.g., Google)
Payment processing data from our payment providers
In plain terms

Three sources: what you give us (account, billing, uploads), what we record automatically (usage, device, logs), and what providers like Google or our payment processor pass on.

03

How We Use Your Information

We use the information we collect for the following purposes:

To provide, operate, and maintain our Services
To process your transactions and manage your subscription
To train and power your AI agents using the content you upload
To communicate with you about your account, updates, and support inquiries
To analyze usage patterns and improve our platform, features, and user experience
To detect, prevent, and address fraud, abuse, and technical issues
To comply with legal obligations and enforce our terms
In plain terms

Your information runs your account and your agents, keeps the platform working and secure, and helps us improve it — nothing else.

04

Data Sharing & Disclosure

We do not sell your personal information to third parties. We may share your information only in the following limited circumstances:

With service providers who assist us in operating our platform (e.g., hosting, payment processing, analytics), bound by strict confidentiality agreements
With AI model providers (e.g., OpenAI, Anthropic, Google) solely to process your agent queries — your data is sent only as needed to generate responses and is not used for model training
If required by law, regulation, legal process, or governmental request
To protect the rights, property, or safety of Mind-e, our users, or the public
In connection with a merger, acquisition, or sale of assets, with prior notice to you
In plain terms

We do not sell your data. It reaches only the providers who help run the platform, the AI models answering your agent, or the authorities when the law requires it.

05

Data Security

We implement industry-standard security measures to protect your data:

All data is encrypted at rest using AES-256 encryption
All data in transit is protected with TLS 1.3
Your uploaded content is stored in isolated, encrypted environments
We conduct regular security audits and vulnerability assessments
Access to user data is restricted to authorized personnel only, on a need-to-know basis
In plain terms

Encrypted at rest with AES-256 and in transit with TLS 1.3, held in isolated environments, audited regularly, and reachable only by staff who need it.

06

AI Models & Your Data

We understand the importance of how your data interacts with AI models. Here is our commitment:

Your uploaded documents, conversations, and queries are never used to train, fine-tune, or improve any large language model
Data sent to third-party AI providers is used solely to generate responses for your agent and is not retained by those providers for training purposes
You maintain full ownership of all content you upload to Mind-e
We do not use your data for any purpose other than powering your own agents
In plain terms

Your documents and conversations never train any model — ours or a provider’s. They are used only to answer your own agents’ queries.

07

Data Ownership & Retention

You retain full ownership of all data you upload to Mind-e. We store your data only for as long as necessary to provide our Services or as required by law.

You can export all your data at any time from your dashboard
You can request deletion of your account and all associated data at any time
Upon account deletion, your data is permanently removed from our systems within 30 days
Backups containing your data are purged within 90 days of deletion
In plain terms

Your data stays yours. Export it whenever you like; delete your account and it is gone from our systems within 30 days and from backups within 90.

08

Your Rights

Depending on your location, you may have the following rights regarding your personal information:

The right to access the personal information we hold about you
The right to request correction of inaccurate or incomplete data
The right to request deletion of your personal information
The right to restrict or object to certain processing of your data
The right to data portability — receiving your data in a structured, commonly used format
The right to withdraw consent where processing is based on consent
In plain terms

Depending on where you live you can ask to see, correct, delete, move or restrict your data — or withdraw consent you previously gave.

09

Cookies & Tracking

We use cookies and similar tracking technologies to enhance your experience on our platform.

Types of Cookies We Use

Essential cookies required for the platform to function properly (e.g., authentication, session management)
Analytics cookies that help us understand how users interact with our platform so we can improve it
Preference cookies that remember your settings and choices
We do not use advertising or third-party tracking cookies
You can manage cookie preferences through your browser settings
In plain terms

Only cookies that keep you signed in, remember your settings, and show us how the platform is used. No advertising or third-party trackers.

10

International Data Transfers

Our Services are hosted and operated globally. If you access our Services from outside the region where our servers are located, your information may be transferred to, stored, and processed in a different jurisdiction. We ensure appropriate safeguards are in place for any international data transfers in compliance with applicable data protection laws.

In plain terms

Our infrastructure is global, so your data may be processed in another country — with the safeguards data protection law requires.

11

Children's Privacy

Our Services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 16, we will take steps to promptly delete that information. If you believe a child has provided us with personal information, please contact us immediately.

In plain terms

Mind-e is not for under-16s. If we find we have collected a child’s information, we delete it.

12

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will notify you by posting the updated policy on our website and updating the "Last Updated" date. We encourage you to review this policy periodically. Your continued use of our Services after any changes constitutes acceptance of the updated policy.

In plain terms

We can update this policy; material changes are posted with a new date. Continuing to use Mind-e afterwards counts as accepting them.
